Abstract Submittal - Frequently Asked Questions

FREQUENTLY ASKED QUESTIONS FROM SYMPOSIUM ORGANIZERS:

Q: Will there be a specific poster session or contributed talk session associated with my symposium?

A: There might be! During the online abstract submission process, a person submitting a poster or contributed talk chooses a topic/session. At that time, s/he will have the opportunity to choose a symposium with which to be associated. Therefore, there will be a specific poster session or contributed talk session associated with your symposium IF individuals choose your symposium (if an associated session has only one entry it will be up to the Program Planning Committee to decide whether to combine it with another session at the Program Planning Meeting).

Q: Are the registration fees for my speakers waived?

A: No, but all symposium presenters are eligible for partial reimbursement ($100) of their registration fee if you submit a grant proposal for external funding, EVEN IF YOUR PROPOSAL IS UNSUCCESSFUL (see guidelines for more information).

Q: Where should I apply for grant support for my symposium?

A: In the past, symposium organizers have successfully submitted grant proposals to: 1. the National Science Foundation [BIO Directorate, EHR (Education and Human Resources) Directorate, and Polar Programs], 2. National Institutes of Health, 3. Department of Energy, 4. Environmental Protection Agency, 5. Office of Naval Research, 6. NASA 7. several private foundations, and industry/the private sector.

Q: What happens if I want to publish my symposium proceedings?

A: If you plan to publish your symposium, the SICB journal (Integrative and Comparative Biology) has right of first refusal to publish SICB symposia. Harold Heatwole is the editor and may be contacted at <editors_icb@ncsu.edu>). It is imperative that the organizers and/or authors seek pages charges or other publication costs in the grant proposal that is submitted to support the symposium. The costs for publication should be considered up front and funds should be requested when submitted in a grant proposal. The costs of publications can be quite high and in some cases in the past, unexpected. In the future, waiving of page or color costs by ICB will occur only in rare, exceptional circumstances. Costs for page charges (above 12 printed pages: $135.00 per page) and for color figures ($600.00 per figure) need to be sought and budgeted in advance for publication in ICB.

FREQUENTLY ASKED QUESTIONS FROM INDIVIDUALS PRESENTING POSTERS OR TALKS:

Q: I have a conflict with some of the days of the meeting could I indicate a time or date preference for my presentation?

A: You are not alone virtually EVERYBODY attending a meeting has schedule conflicts or preferences. Given the gratifying large number of posters and talks (1000+) at a SICB meeting, it is virtually impossible to take date/time preference into account during the final Program Planning Meeting, because posters and talks are grouped by subject. Also note that it is less common to find individuals that request the last day of the meeting for their presentation. We are sorry for any conflicts that arise and hope that you are able to work around your conflict or get lucky in scheduling.
